Step by Step procedure in Exports | Flow Chart in exports | Learn Exim

In this section i am going to discuss about the step by step procedure which are practiced during the exports business .





Step 1 : Importer approaches Exporter .

Step 2 : Exporter asks the importer about the requirement . It is important to ask the following the information from the importer so that the exporter has a clear idea about the importers requirement.

- Name of the product

- Quality

- Quantity

- Specifications of the product.

- packing

- Delivery port

- Payment terms.

- Target price ( If any )

Step 3 : Upon receiving the above information exporter quotes the price or give quotation.

Step 4 : Negotiations happens

Step 5 : Later , The price is accepted by the importer , The purchase order ( P.o ) is raised by the importer . This P.O has all requisite terms and conditions on the deal , so the exporter has to  read it carefully

Step 6 : Contract signing happens between importer and exporter .

Step 7 : Payment terms as per the P.O has been made by the importer .

Step 8 : Payment confirmation is received by the Exporters bank .

Step 9 : Exporter prepares the pre - shipment documents along with the Goods and handover it to the CHA for customs clearance and thereby exported

Step 10 : After shipment , the exporter submits all the requisite documents to the bank for the negotiation of payment.

Step 11 : Payment knocks the account as per the terms in P.O in the exporters account.


These are the stages which is involved , If your importer says to Get additional Certificates then this has to be done before you handover the goods to your CHA for customs clearance .

1. The shipping terms says it all that whether you have to bare shipping charges or your importer . This is been well clarified before you kickstart .
2. Payment terms as per the P.O Again whether you will advance or post shipment .

1. Know your business :  It is at most Required to know what business are you going to start . This comes in terms of the knowledge you hold in this business . Getting a knowledge from the right person with a accurate information is what should be your first step .

2. Investment : I feel that in the  markets , people feel and think that we require 7 DIGITS Investment to kick-start , But its a myth . The truth is you can start off the export business at just 6 Digits investment . Starting off Exports today is easy right from your house.

3. Product selection  : The product selection is very crucial stage , as this is the stage where most of the startups gets confused on . Selection of the product is directly proportional to investment and market demand . So , select the product in which you have good knowledge in working with so that it becomes easy for you to convince the counterpart . You need to also keep in mind whether the product chosen by you is coming under restricted or prohibited or free to export category .

4.  Market selection : Get in touch with various Exports data providers which gives out clear graphical understanding about the demand of your product globally . this is basically a step which can be practiced only through data , graphical representation and visiting each country is not viable for all startups .

5. Jump into the market : After practicing all the above steps , get started to generate leads for your company . The leads can be generated right today either through online or offline . Offline turns out to be having a higher lead conversion rate when compared to Online , But slowly the trends are changing and expecting the Digital marketing to have boom in exports marketing .  so try to attend international buyer - seller meets , International trade fairs , trade exhibitions abroad which gives an opportunity to meet the buyer face to face and thereby closing the deal.

3. Choosing the market : You have to check out where does that country get their imports which will unlock the information of Competitor globally and you need to also find out the suppliers who are already into exports into your commodity .

4. Taping the buyers : Today we are in a digital world and 40 % of the startups are generating the leads digitally worldwide to get leads . Its advisable to hire a digital marketer who has strong knowledge of International markets. You can also Attend International Buyer / Seller meets , Trade fairs  / Trade exhibitions / Trade delegations in a subsidized rates through the government organised events. Get connected to our Indian Embassy Offices / Trade assistance offices  to generate the list of Importers in that country for your commodity.

5. Credibility : Find out the credibility of your lead to know the potentiality before you actually kick start it .
